Privacy

Waterfall Lodge collects only the information you choose to send through an enquiry or RSVP form. This includes contact details and the information needed to respond to an enquiry or administer attendance and dining for a particular meeting.

Enquiries

Joining enquiries are sent to the Membership Officer at the Lodge role address. We use the information to respond to the enquiry and, where appropriate, to discuss joining the Lodge. It is not used for unrelated commercial purposes and is never sold.

Meeting responses

RSVP details are sent to the Lodge Secretary’s role address to administer attendance, dining and payment confirmation for that meeting. If you provide dietary requirements, we use them only to arrange the relevant meal. Guest details are used only to manage the guest’s attendance and dining arrangements.

The website does not keep a separate database of enquiries or RSVP responses. Form submissions are delivered as email to the appropriate Lodge mailbox. The Lodge keeps that correspondence only for as long as reasonably needed to respond, administer the meeting or meet its administrative record-keeping needs. The Lodge has not yet adopted a fixed website-form retention schedule; this will be documented when agreed.

Who handles the information

The relevant Lodge officer and people assisting them with the stated purpose may access a submission. Cloudflare hosts the site and provides Turnstile spam protection, Resend transmits form email, and Purelymail hosts the Lodge mailboxes. Their processing is subject to Cloudflare’s privacy policy and Resend’s privacy policy, alongside Purelymail’s applicable privacy terms.

Members, photographs and cookies

The site publishes only the limited member information the Lodge has authorised, such as names, offices and joining years. Identifiable photographs or videos are published only when their use has been authorised. We do not use advertising, social-media or analytics tracking cookies. Cloudflare Turnstile may process technical information needed to protect the forms from abuse. When a meeting uses an access code, the site sets one essential temporary cookie to keep that meeting open for up to 12 hours after the correct code is entered; no non-essential cookie banner is required by the current configuration.
